How many moving parts does a wedding planner have to keep track of during an event? A contract is the absolute best way that you can protect your business and your relationship with your client in those high-stress situations. After all, you’re in charge of planning and executing their big day, and the last thing you want to do is allow emotions and miscommunication to cloud expectations.

    • Who is entering into the agreement and when the event will take place

    • Payment terms, including service fee amount, accepted methods of payment, deposit, payment schedule and what happens in the case of a late payment

    • How cancellations, terminations, and rescheduling would be handled

    • Policies around travel and overnight stays and the fees associated

    • What happens in the situation that the venue or officiant has rules or guidelines that impact your ability to perform your coordination services

    • Request for clients to credit planner in any website or social media posts

    • Permission for you to use photos/videos/media of the event for promotional purposes

    • Agreement on exclusivity, that the client will not hire any other service provider to provide the same service

    • Requirement for a safe working environment and what happens in the situation of a threat of injury, harm or damage to you, your team members or your equipment

    • What happens if the client must cancel, reschedule or terminate the agreement

    • How reimbursement to you would be handled in the case of a cancellation by the client

    • What happens if you are incapacitated and unable to perform the services

    • Standard legal clauses including: confidentiality, representations and warranties, limitation of liability, waiver, merger, force majeure, notice, compliance with law, amendments, assumption of risk, indemnification and dispute resolution

  • This is an essential contract for any wedding planner to have between them and their client.

No matter if the event is a wedding or another type of event, this agreement is vital.

With this agreement, you’ll start the relationship with your clients off on the right foot.

Please note: this contract overlaps greatly with our Travel Planning Agreement and Day of Coordination Agreement. The Day of Coordination Agreement template is designed with venues in mind, that are offering in-house coordination as an add-on/stand-alone service and not offering full event planning.
